Working with a 3D rendering company: The complete process guide

Working with a 3D rendering company: The complete process review

Every 3D rendering company has a unique process for providing services to clients. However, a good real-estate photography editing service should not just stop at having a clear workflow. It is recommended that photography companies choose one that builds an efficient workflow so the output turns out with the best quality possible. In this blog, we are going to look at how Esoft’s 3D product workflow benefits our clients.

Client approach

When a 3D rendering company receives an approach from its client, the first step in the workflow is to send out different samples produced by the firm. This step is crucial to see if the quality matches the requirements. This step also helps the clients to better understand the artists’ styles and skillful techniques. After that,  the 3d visualization company will inform the client of the pricing details and move forward with the SLA (Service Level of Agreement).

Input Requirements

When working with a 3D rendering company, an input requirements file is required to enable the most effective collaboration process. Normally, the outsourcing company has to prepare a checklist providing all the needed materials for the clients before the project starts. You need to find out about that key information below when outsourcing 3D rendering real estate:

  • Technical drawings & blueprints: Important materials such as plans, technical drawings, and preferred points of view should be sent to the 3d visualization agency beforehand to align deliverables and expectations between the 02 parties. Make sure to include detailed requirements about spaces, angles, textures, or a specific number of images to avoid back-and-forth communication.
  • Address & Location information: It’s crucial to determine the property surroundings as the location has an impact on what type of trees and vegetation we should include in the renderings.
  • Views: Determining which and how many views are needed helps the 3d rendering company identify the number of scenes to be set up. We recommend indicating the angle or direction of the views on the floorplan for interior images. For exteriors, explain them on the site plans if available, or alternatively provide a description instead.
  • Materials and color: It’s important to include important details regarding the colors and materials for walls, roofing, windows, floors, and kitchen elements for better visualization.

It’s essential to have a streamlined workflow that enables an efficient working process when placing an order. Below are the 04 simple ordering steps at Esoft:

  • Step 1: Clients send all the important input materials and detailed project descriptions to our email address.
  • Step 2: Esoft reviews all the provided information and sends back a confirmation email including the agreed number of images and an ETA for the first drafts.
  • Step 3: Esoft sends a link to a system called Filestage where clients can easily review and feedback on the images.
  • Step 4: Esoft will notify our clients via email if new versions are available on Filestage.

Service Level of Agreement

A service Level of Agreement, or SLA, is a contract between the vendor and the company that specifies the detailed level of expectations from the vendor. If you outsource 3d rendering real estate, it’s essential to establish appropriate standards between two parties to ensure the promised services are delivered without compromise. Below is some critical information that needs thorough consideration.

First, pay attention to the amendment requirements. Normally, a 3D rendering company offers one free correction round, which is quite tricky in terms of pricing. Additional charges will apply if further modifications are necessary. In the world of 3d rendering real estate, we know a one-time adjustment is rare. Hence, at Esoft, we offer 3 correction rounds with no extra costs.

Plus, considering storage time for working files is absolutely necessary. Any modifications after this time will be charged as a new order. At Esoft, we offer our clients a 6-month duration for materials archives.

Project Debrief & Implementation

Input requirements review

After reviewing the SLA and the two parties have come to an agreement, the process will be transferred to the artist team. At Esoft, the beginning step of the project debriefing process is to review the input requirements. There are three main input types that any 3D rendering company must have in order to create outstanding outputs.

3D rendering company
At Esoft, it is essential to review the input requirements

The required number of photos and the angle of view is the most crucial factors to review. If the clients have not sent out these two inputs, it’s impossible for the team to proceed with the next step. The required interior, exterior angle, and camera point of view are significant since they allow the artists to know what area to create 3D visualization. The more detailed the point of view description is, the better. Because then, the artists will create the CGI to exactly portray the angle and direction that the client wants.

Second, it is also recommended for clients to provide a 3D rendering company with their desired overview of the property. This includes the common space, the specific rooms, the wanted color palette, and other additional required information. Putting these instructions into the input requirements would result in a perfectly crafted 3D output. Third, the artists would also need the property’s technical drawings and sketched floor plans in the DWG format for better accuracy. Any reference images would be extra helpful and inspirational to the artists.

Customer Service

At Esoft, once the team confirms that all the required inputs have been received, they will inform the Customer Service department of the CTA. CS has the responsibility to inform our clients of the turnaround time and processes. Each project has its own requirements and characteristics. Therefore, the turnaround time would depend on those factors. However, the standard time to get back to our clients with the output is 5-8 working days.

Delivery & Adjustment

After the outputs have been done, the 3D rendering company will deliver the first draft through a visual platform where end clients can directly leave feedback.  To protect the clients’ and our artists’ identities, Esoft uses Filestage, a platform that has high security and appears anonymously. What’s special is that our clients can interact with the artists on Filestage. This allows them to directly give feedback, quickly discuss and chat to avoid miscommunication between two parties. When all of the outputs have been approved by the clients, 3D visualization agency Esoft will export the finished output in HD resolution and upload it to Filestage as the final result.

Project review

To provide the best services to our clients and constantly improve the quality, after delivering the first few projects, Esoft usually has a project review meeting. This meeting has the participation of the 3D rendering company’s Business Development team, Product Expert team, and the client to review the quality of the output. Two parties would also review the whole working process and the possible issues to avoid for future projects.

The purpose of this meeting is to support new clients or when a client has quality issues. So, it only appears in the first 1-2 projects. Since the 3d rendering real estate service and the normal existing clients have already developed a working style, there’s no need for them to attend this type of meeting.

It’s crucial to have a comprehensive workflow that ensures an efficient collaboration process when outsourcing to a 3d rendering company. All the working process always starts from a mutual understanding to align the expectations between two parties. Before jumping into the project, be sure to be aware of all the stages. That way, photography companies can highly benefit in terms of productivity and performance.
